Ruxpin Privacy Policy

This Privacy Policy describes how Ruxpin ("Ruxpin," "we," "us," or "our"), operated by Ted Kim , collects, uses, and shares information when you access or use the Ruxpin application, website, and related services (together, the "Services"). By accessing or using the Services, you agree that you have read and understood this Privacy Policy and consent to the practices it describes.
Information we collect
Information you provide. We may collect information you provide when you create or use an account, such as your email address, an optional display name, sign-in identifiers (for example, an Apple ID token if you use Sign in with Apple), preferences, and any communications you send us. If you subscribe, payment is processed by the applicable app store — we do not receive your payment card details; we receive subscription status.
Content you create. When you speak, record, or type a thought, we process it to provide the Services and store the resulting content and material derived from it (such as transcripts, cleaned text, tags, themes, sources, collections, and AI-generated output). Voice audio is transient: recordings are deleted from our systems after each transcription attempt. We keep the words, not the sound.
Information collected automatically. We may collect information about how the Services are used and the devices used to access them, such as product interaction events, device type, operating system version, app version, IP address, and similar diagnostic and usage data. Analytics events are associated with a random account identifier rather than your email address.
Diagnostics. We may collect crash reports and error data to maintain and improve the Services.
Cookies and similar technologies. Our website may use cookies and similar technologies to operate the site, maintain sessions, and understand usage. You can control cookies through your browser settings; some features may not function without them.
How we use information
We may use the information we collect to: provide, maintain, and personalize the Services (including transcribing audio, structuring entries, generating reflective features, and syncing your record); operate our business (including subscriptions, support, and communicating with you about your account or the Services); improve, develop, and protect the Services; enforce our terms and prevent fraud, abuse, and security incidents; and comply with legal obligations.
We may create aggregated, de-identified, or anonymized data from the information we collect and use it for any lawful purpose, provided it is not maintained or used in a form that identifies you.
We do not sell your personal information, and we do not use it for third-party advertising. We do not use your content to train AI models, and our AI provider does not use it to train its models (see "AI processing" below).
Communications
What we send. We use your email address to send you two kinds of message. Service messages are necessary to operate your account, such as sign-in links, password resets, confirmations of changes to your account, and notices about your trial or subscription status. Product and promotional messages are optional, and cover things like getting started, features, and offers.
Your choice. Every product or promotional message includes an unsubscribe link, and unsubscribing applies to all of them. You can also write to support@ruxpin.app. Service messages continue while your account exists, because they are part of providing the Services; deleting your account ends them.
What we record. To send these messages and to honor your choices we store your email preferences and a record of which messages we have sent you, so that you do not receive the same one twice. We do not sell or rent your email address and we do not send messages on behalf of anyone else.
Our email provider. Email is delivered by a third-party provider acting as our service provider, under the terms described in "How we share information."
AI processing
Who processes it. Ruxpin uses one third-party AI provider: Google LLC, through its Gemini API. Content is sent to Google only through our own servers, only to provide the features described here, and only after you have agreed to it in the app. The app asks for this permission the first time you use it (the "Ruxpin uses AI" screen) and again at the moment content would first be sent if you had not yet agreed. Nothing is sent to Google before you agree, and the disclosure stays available in the app under Profile → AI processing.
What is sent, per feature.
- Transcription. Your voice recording, so it can be turned into text. The recording is deleted from our systems after the transcription attempt; we keep the words, not the sound.
- Structuring an entry. The text of your thought (spoken or typed) and metadata from your entries and sources, such as a book's title and author, so the entry can be tidied and filed under its source.
- Reflections (Rux). The text of your entries and the question you ask, so Rux can reflect on your own record. Spoken questions and spoken feedback are transcribed the same way as thoughts.
- Reader portrait and concept grouping. The text of your entries, so your portrait can be written and related thoughts can be grouped.
- Search. The text of your entries and your search queries, converted into embeddings so your account can be searched by meaning.
What is never sent. Your name, email address, Apple ID or other sign-in identifiers, device identifiers, payment or subscription details, analytics data, and any book text (Ruxpin does not hold book text).
How Google may use it. Google processes this content as our service provider under the Gemini API paid-tier terms and Google's data processing terms. Under those terms Google does not use content sent through our account to train or improve its models, does not use it for its own purposes, and provides protections for it at least equivalent to those described in this Privacy Policy. Content is used only to provide the specific feature that sent it. We do not send content to any other AI provider.
AI output can be inaccurate or incomplete, and no representation is made as to its reliability.
How we share information
We may share information with service providers that perform functions on our behalf, in categories such as: cloud infrastructure (database, authentication, storage, hosting), AI processing (Google LLC, Gemini API, as described under "AI processing"), crash and error reporting, product analytics, subscription management (including the applicable app store, which processes payments), and transactional email. Providers receive the information reasonably necessary to perform their functions, subject to agreements limiting their use of it. A current list of providers is available on request at support@ruxpin.app.
We may also disclose information: to comply with applicable law, regulation, legal process, or governmental request; to enforce our terms and policies; to detect, prevent, or address fraud, security, or technical issues; or to protect the rights, property, or safety of Ruxpin, our users, or others.
Business transfers. Information we collect may be transferred to a successor or acquirer in connection with a merger, acquisition, reorganization, financing, bankruptcy, or sale of all or part of our business or assets, in which case it will remain subject to commitments materially consistent with this Privacy Policy or you will be notified as required by law.
Retention and deletion
We retain information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. You can delete your account in the app (Profile → Delete account); deletion becomes permanent within 30 days, after which your record cannot be restored. Residual copies may persist in encrypted backups for a short period after that and are overwritten on a rolling basis. Limited records (for example, transaction records required for accounting) may be retained where the law requires. Voice audio is deleted after transcription regardless.
Security
We use commercially reasonable technical and organizational measures designed to protect information, including encryption in transit and at rest and per-account access restrictions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by applicable law.
Your rights and choices
You can access and edit your record in the app and delete your account at any time. For a copy of your data or any privacy question or request, contact support@ruxpin.app; we respond to verified requests within a reasonable timeframe and as required by law.
Email preferences: unsubscribe from optional product and promotional messages using the link in any of them, or by writing to support@ruxpin.app. Messages necessary to operate your account continue while the account exists.
California residents have rights under the CCPA/CPRA, including to know what personal information we collect, to request deletion or correction, and not to be discriminated against for exercising those rights. We do not sell or "share" personal information as those terms are defined by the CCPA/CPRA.
Outside the United States: the Services are operated from the United States and information is processed there. Where local law grants you additional rights, we honor equivalent verified requests via the contact above.
European Economic Area, United Kingdom, and similar jurisdictions: where such law applies, we process personal information on these legal bases: performance of our contract with you (providing the Services), our legitimate interests (operating, improving, and securing the Services), compliance with legal obligations, and your consent where required. You may have the right to access, correct, delete, or receive a portable copy of your personal information, to restrict or object to certain processing, to withdraw consent at any time (without affecting prior processing), and to lodge a complaint with your local supervisory authority. Where required, international transfers rely on appropriate safeguards, such as standard contractual clauses with our service providers. Exercise these rights via support@ruxpin.app.
Children
The Services are not directed to children under 13, and you must be at least 13 to use them. We do not knowingly collect personal information from children under 13; if we learn we have, we will delete it.
Links to other sites
The Services may contain links to third-party sites and services. We are not responsible for their content or privacy practices; review their policies before providing information.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time. Updates are effective when the revised version is posted at this location, and the version and effective date above will reflect the latest revision. You are responsible for reviewing this Privacy Policy periodically; your continued use of the Services after a revised version is posted constitutes your acceptance of it.
